Privacy notice

This notice describes personal data processing through the website, client area, licenses, support, updates and NexaDesk components.

These texts are prepared for operational use on the NexaDesk website. A final legal/tax review is still recommended before broader commercial sale, especially for tax identifiers, withdrawal rights and invoicing.

Website data

The website may process technical access data, IP address, language, cookie preferences, visited pages, contact forms, commercial requests, email and data voluntarily submitted by the user.

Client area

The client area may process name, company, email, phone, country, tax details, billing address, licenses, plans, expiry dates, activations, tickets, messages and uploaded attachments.

Licenses and activations

The license server may process serial number, license status, plan, expiry date, activation count, technical device identifier, software version, verification time and security logs.

Desktop software

The software primarily stores operational data locally or in configured paths. When using licensing, updates, ticket portal, SMTP, e-invoicing or agents, it may communicate with configured services or NexaDesk servers.

Ticket portal

The ticket portal processes contact data, subject, messages, request status, replies, category, timestamps and technical data. If installed on customer hosting, the customer/administrator may be a separate controller or processor depending on the setup.

Agents and monitoring

Agents or SNMP/network checks may collect device name, operating system, CPU, RAM, disk, uptime, network status, last contact and technical metrics. Passwords, private keys or unnecessary data must not be included in agent payloads.

Purposes

Data is processed to operate the website and software, manage licenses, accounts, support, tickets, updates, security, invoicing, operational communications, abuse prevention and administration.

Legal bases

Legal bases include contract performance or pre-contractual steps, legal obligations, legitimate interests in security and service operation, and consent for Analytics or marketing where required.

Google Analytics

Google Analytics is loaded only after consent. Before consent, analytics_storage is denied and the Google Tag is not loaded. After consent, aggregated site usage, visited pages, basic events, browser/device information and approximate location may be processed. Advertising cookies and remarketing are not active.

Cookies and preferences

Cookie preferences are stored in the user browser. Users can change them through the Cookie button or by clearing browser site data. Details are in the Cookie Policy.

Recipients

Data may be processed by hosting, email, database, security, update, analytics, payment, e-invoicing, archiving and technical support providers where necessary for the service.

International transfers

Some providers, such as Google services, may involve transfers outside the EU. In those cases GDPR safeguards apply, such as standard contractual clauses or adequacy decisions where available.

Retention

Data is retained as long as necessary for service operation, licensing, support, tax obligations and legal protection. Technical logs are kept for periods proportionate to security and diagnosis.

Rights

Data subjects may request access, rectification, erasure, restriction, objection, portability and withdrawal of consent within GDPR limits. Requests can be sent to support@nexadesk.de.

Complaint

Data subjects may lodge a complaint with the competent data protection authority.

Security

Appropriate technical and organizational measures are used, including restricted access, HTTPS, data separation, backups and data minimization. No system is risk-free.

Children

NexaDesk is intended for professional use and is not directed at children.
